Job Description:
Description Position Summary: To coordinate activities necessary
to fulfill customer orders for spare and replacement parts,
including off the shelf and manufactured parts and equipment. To
act as primary point of contact for customers. Essential Activitie
s (with or without reasonable accommodation): 1. Communicate
directly with customers (both internal and external) by phone and
email. 2. Prepare customer quotes. As required, confer with
Procurement and Engineering to assure that correct costs for
materials and labor are used for the quote. 3. Enter quotes and
customer orders into the ERP system. 4. For manufactured parts,
coordinate with Production to assure that fabrication and assembly
resources are available and scheduled to meet customer
requirements. 5. Confer and coordinate with Procurement to issue
purchase orders for parts and supplies necessary to meet customer
requirements. 6. Coordinate with Materials Management and Logistics
to assure that orders for purchased parts and manufactured
parts/assemblies are shipped in accordance with customer
requirements. 7. Coordinate with Finances to invoice customers
correctly. 8. Coordinate receipt of RMAs (Return Materials
Authorizations); and communicate with the warehouse. 9. Coordinate
shipment of customer orders necessary to fulfill warranty repairs.
10. Enter information and updates into the ERP, to include order
status and schedules. 11. Monitor scheduled shipments to ensure
on-time delivery. Initiate corrective action to keep shipments on
track. 12. Contact customers following sales to ensure ongoing
customer satisfaction; and, resolve any complaints. Qualifications
Competencies: Education, Training, Experience, and Overall
Knowledge/Skill: Plans, organizes and evaluates multiple
operational activities and/or makes professional recommendations
using specialized knowledge of a scientific, technical, or
administrative discipline. Typically requires training in a
community college and/or related experience or equivalent.
Typically required one year of related experience. Computer Skills:
Uses computer functions such as complex word processing, built-in
spreadsheet functions and creates macros; database searches and
subroutines. Communication Skills (Reading): Interprets specialized
documents on a regular basis so that the jobholder can initiate and
ensure effective communications. Communication Skills (Writing):
Writes documents related to unique or non-recurring issues that may
involve expressing specialized terminology and phrases in plain
language. Informational Analysis: Provides analysis and/or
completes project work by collecting and extracting data and
assessing the relevant information in databases or other
information. Thinking Environment: Works within specifically
defined policies, principles or objectives with some oversight from
inside the company or from outside technical resources. Problem
Analysis: Deals with issues and problems that often require
thoughtful reasoning before coming up with approaches or solutions.
Finding the solution requires study or the use of technical
standards or approaches defined by management or a
professional/technical discipline. Mathematical Analysis: Performs
basic arithmetic dealing with decimals, fractions, ratios,
percentages, etc. Interpersonal Skills: Asks questions and searches
out information which is not readily given or available. May
involve converting specialized terminology or expressions into
general language. May regularly relay unpleasant information to
others. Must be aware of and understand the feelings and motives of
others. Adaptation to Change: The techniques, technologies or
knowledge base are evolving. The jobholder is regularly required to
upgrade skills and become familiar with new functions, techniques
and practices. Planning: Prioritizes own work within a changing
schedule. Needs to create own work plans. Prioritizes orders by
order of importance. Coordinating: Does own work within a changing
schedule. Needs to consider and anticipate others work activities
to coordinate own activity. Directing: Provides some guidance in
specific skills to others. Integrates supply needs. Staffing: Is
not involved in staff supervision. Teaching/Training: There is no
need to instruct other people, but may be asked occasionally to
demonstrate work activities. Freedom to Act: Decides how best to
reach specific goals within the framework of existing policies,
principles or theories. Finished results are evaluated for
compliance with policies and objectives of the company. Physical
Effort Most of the time is spent sitting in a comfortable position
with frequent opportunity to move about. May need to lift light
articles. High speed or physical coordination are not required.
Physical Environment: Is usually located in a comfortable indoor
area. Any unpleasant conditions indoors or out would be infrequent
and risks of injury or health hazards are minimal.
Mechanical/Technical Expertise : There is little
mechanical/technical expertise needed to operate and maintain
equipment. Mental Pressures: There are pressures from frequent
deadlines, quotas, and the need for accuracy, work interruptions or
production. Unpleasant social contacts, unpredictable or
frustrating situations are common.
