Haute: Senior Producer

Job Description:

SUMMARY Reporting to the Director of Event Production, the Senior Producer will manage and design all aspects of our client event experiences, from pre- to post-event. This person is a seasoned live event professional able to assess any assignment and execute it from beginning to end with little to no oversight. TIMELINE We are on the search for the ideal next member of the Haute family that is the perfect fit for our desired live event expertise and our internal culture. So we will be evaluating and meeting with candidates over the next several months. Note that this position is slated to be hired to begin full time in Q4 of 2022 but this timeline can change based on a variety of factors. ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Add senior live event expertise to client-facing and internal meetings, driving the discovery of information and creation of event strategy to meet the client's business goals. You hear what a client needs to achieve and know how to make it happen.
  • Be an expert in Haute templates, documents, project management software, and storage software, using each exactly as outlined in our process. Train colleagues on process of using Haute templates, documents, project management software, and storage software.
  • Be a part of brainstorming and strategic discussions for your assigned programs.
  • Create detailed P&L documents to support event budgets; prepare a detailed client budget for approval.
  • Lead regular meetings & communications with clients (in conjunction with account services), providing detailed updates, request for information, updates on deliverable timelines, etc. to manage a "no surprises" expectation.
  • Request and execute all contracts for approved event materials, processing payments through appropriate channels.
  • Oversee the fabrication of custom event materials on own or in conjunction with other agency teams
  • Work with internal teams to create detailed floor plans as needed for the event, including weather backups. Work with internal teams to create detailed build drawings or guides for use by on-site teams/crew as needed
  • Create high level production schedule, production schedule, and run of show as needed for each event. Create unique schedules for each stakeholder and review details individually.
  • Lead pre-con meeting and any staff training sessions before event
  • Hire, train & manage any contractors as needed for pre-production support
  • Hire & train on-site event management team and/or crew as needed. Manage on-site team (internal and/or external) for the event. Prepare staff letters for each on-site team member with details of the event expectations
  • Process paperwork for any contractors or vendors as needed
  • Prepare an emergency plan and a staff manual, reviewing with on-site team prior to the program
  • Manage on-site teams and operations, and act as main client contact where appropriate
  • Assist with reconciliation & final billing for client as needed
  • Supervise Producers, Managers and Coordinator as assigned
  • Actively participate in improving and updating internal processes. The ideal candidate can adapt to existing internal processes and enhance them with their own templates and expertise.
  • Assist with new business development and RFP response for assigned projects.
  • Assist other team members in an advisory capacity for assigned programs. EDUCATION AND TRAINING
    • Bachelor's Degree in Marketing, Events, PR, or equivalent experience
    • 10+ year working in event design and production
    • Mastery of Excel
    • Working knowledge of project management & communication systems such as Wrike, Box, and Slack
    • Ability to work full time with an appropriate remote office setting for running virtual meetings or events
    • Personable and professional communication with clients.
    • Desire to constantly learn the newest concepts, ideas, and trends within the events industry to help deliver exceptional experiences to our clients.
    • Strong persuasive writing ability, used in supporting the creation of event proposals.
    • Friendly and confident demeanor - you know the questions to ask to get all of the information needed to prepare an amazing strategy for a client's event, and how to communicate that information to an internal team to create a truly memorable experience.
    • Extremely detail oriented and well-organized, with the ability to prioritize multiple projects.
    • Ability to work well under pressure, having a patient and calm approach when managing multiple projects.
    • Ability to design an event from the flow of a floor plan, to the look and feel of an environment, to custom scenic fabrication or graphics. Ability to see the space in your mind's eye and translate the client's brand and vision into physical (or virtual) event.
    • Work independently or manage a team to provide appropriate deliverables to clients. PREFERRED EXPERIENCE
      • Experience working with Fortune 500 Clients
      • Hold a CSEP, CMP or other related designation
      • Have Pandemic Compliance Advisory or similar training/certification PHYSICAL REQUIREMENTS
        • Ability to travel to Haute HQ in Texas and for site visits, meetings & events as needed
        • Ability to walk, stand, sit, kneel, speak, and hear with aid, see, read, reach with arms and hands, and use a computer, and telephone
        • This position will require continuous viewing of a computer screen and sitting for long periods of time
        • Must have reliable transportation for traveling to/from remote working locations
        • Must be able to stand for up to 3 hours at a time
        • Must be able to travel via car, bus and/or airplane
